A. Managing the Successful Completion of Your School’s JData Profile Forms Within Your School

PEJE appreciates the time investment required to complete the JData day school profile forms. In talking with schools which are currently completing the JData forms, a frequent question has been, “What is the best way to go about getting the form completed on time?”

Here is what we recommend:

1. Provide access to key individual contributors to enter the data in the JData forms.
 
2. For most Jewish day schools, JData staff members have created a JData access manager in your school’s profile.  (In most cases,  the Development Director initially is listed in the profile as the access manager.) So the first step is for the access manager  to examine the data in each section—General Info, Students, Staff, Governance, Resources, Connections, Programs—and identify those individual contributors in your school who are responsible for filling in the data in those sections.

3. Assign read and write access to these individuals in the school profile.

4. Delegate a point person within your school to follow up with those responsible for filling in the data in the sections and oversee its full completion.

5. Assign and publish deadlines by which each section is to be completed. The form can be accessed simultaneously by multiple individuals.

6. Follow up with the responsible individuals half-way through the requested time period for section completion.

7. On the date(s) of the deadline(s) for completing the section(s), “freeze” the form for review by the Head of School. To do this, simply remove write access to the individuals who were given access and responsibility for filling out the form.

8. Re-assign write access only to those individuals responsible for sections where changes and additions need to be made.

C. Getting More Help on Navigating the JData Website

Following is a list of instructions for completing your school’s JData Day School Profile Form.

1. Go to the JData site (www.jdata.com).

2. If you are a NEW user, click ‘Join Now’ and follow the instructions listed on the site. Once you
have joined, please read and agree to the JData terms and conditions.

3. If you are a RETURNING user, click ‘Sign In’ and log in by entering your email and password.

4. Click the PROFILE tab on the blue menu bar (second option from the left).

• If you have access to a profile form, you will see it listed on this page. By clicking the ‘profile form’ oval, you will be able to enter or edit your school’s data.

• To add a new profile, click the ‘Add New Profile’ button in the top left corner. Enter your zip code and select ‘day school’ from the organization type drop-down menu. Your school should appear in the organization list menu. If not, please add the name of your organization in the text box and click ‘Next’.

• If your school exists within JData and does not have an access manager, you will be asked if you should be added as an access manager for the school profile. Select ‘yes’. You will then be redirected to you school’s profile form where you can input your data.

• If your school has an existing access manager, an opportunity to request profile access for you will be presented.
